What data do we keep and why do we need it?

Name and age – this is basic information that helps us get to know you

Address, email address, phone number – We use this as a way of contacting you regarding your sessions.  We may also contact you about opportunities that may be helpful to you, such as groups, courses, experiences, voluntary work, etc.

Doctors details – If we are worried that you are at risk then we may need to contact your doctor.  If we can, we will tell you we are going to do this.

Assessment and Session notes – We keep brief anonymous notes of your sessions.

Will we share your data and, if we do, who will we share it with and for what purpose?

It is very unlikely that we will share your data. We will not sell it on or use it for unethical reasons. We may have to share it if notes are subpoenaed by court; if you or anyone you tell me about is at harm or risk of harm, we may have to pass this information on to your GP or the emergency services. We also have regular supervision where we talk about our work but we only use your first name.

How will we store your data?

Paper based data is kept in a locked filing cabinet. We transfer your name and a code to a password protected laptop and your phone numbers may be kept on a mobile phone which is code protected.

How long will we store your data for and how will we dispose of it?

We will keep your session notes for 8 years after the end of our sessions as required by our governing body. (If you are under 18, we are required to keep your notes until you are 25 years old.)  We will delete your phone number out of mobile phones as requested after our work finishes.
